Job Description

This job description is therefore generic and the Hospital Triumvirate will review with the PA the full scope of administrative tasks to be included within the role.

To provide a comprehensive administrative and secretarial support to the Hospital Operations Triumvirate to ensure the provision of a high-quality co-ordinated service.

The post holder will be expected to deal substantially with a wide variety of sensitive and highly complex confidential material and it is therefore imperative to maintain complete confidentiality at all times and to represent the Directorate in a professional, efficient and courteous manner.

As the first point of contact for the Hospital Triumvirate, it is imperative that the post holder promotes a professional and positive image demonstrating utmost efficiency and knowledge.

The post holder will work flexibly and under their own initiative. The post is demanding due to the requirements to work to key reporting deadlines and the post holder will have demonstrable expertise in a full range of administrative and organisational policies and procedures.

The post holder will need to be able to exercise judgement in making assessments of urgent or sensitive issues either by dealing with them or ensuring they are brought to the attention of the Hospital Triumvirate.

The PA will work as part of a team of PA’s who provide administrative and secretarial support to the Hospital Triumvirate. The team works together to ensure an effective and efficient service is provided at all times. Therefore, whilst the role specifically supports the Hospital Triumvirate, there will be a need for flexibility to provide support during periods of leave and to support workload management.

The organisation is currently launching its new improvement focus in the form of an improvement system called We Care. The We Care System is a fundamentally new model that the organisation will be shifting to, it champions empowerment, promotes innovation and will bolster the connection and collaboration of staff throughout the organisation.

The We Care System utilises a multi-layered approach to improvement allowing staff to develop and produce a variety of ideas to combat the issues and problems that have been identified. The system allows for the deployment of:

  • Strategic Initiatives which are long term projects and focus led and driven by our executive
  • Trust Priority Improvement Projects which are short term projects allocated to a range of project teams made up from our staff groups focusing on impacting our True North metrics and breakthrough objectives
  • Ward Based OMS which delivers daily management and continuous improvement on the frontline
